Integrating with Gmail or Outlook

It is now possible to integrate your Gmail or Outlook with BuildoutCRM!

Our new integration with Gmail and Outlook allows us to log your emails as activities under the associated contact!


How to Connect Your Gmail or Outlook

Once the company settings are enabled, individual users can link their accounts:

  1. Navigate to your Profile

  2. Scroll down to the Integrations section.

  3. Select Gmail or Outlook

  4. Follow the prompts to authorize the connection between your Gmail or Outlook and the CRM.


Syncing Email Activities: Companies using Private Contacts

For an email to be logged automatically, it must meet the following criteria:

  • Emails will only be logged for private contacts (eg. a title company that is public in your CRM) we will not log an activity.

  • Email Address: The contact record must have an existing email address saved in the CRM (new contacts will not be created)

What gets logged?

  • Outbound: Any email you send from your connected Gmail to that contact's address.

  • Inbound: Any email you receive from that contact's address.

These will appear chronologically under the Activity tab of the contact’s profile, ensuring your communication history is always up to date.

Pro Tip: If you aren't seeing emails appearing in the CRM, double-check that the contact is marked as "Private" and that the email address in the CRM matches the one you are communicating with.


Syncing Email Activities: Companies using Public Contacts

For an email to be logged automatically, it must meet the following criteria:

  • We log emails for all contacts in your CRM

  • Email Address: The contact record must have an existing email address saved in the CRM (i.e. new contacts will not be created in your CRM)

What gets logged?

  • Outbound: Any email you send from your connected Gmail to that contact's address.

  • Inbound: Any email you receive from that contact's address.

These will appear chronologically under the Activity tab of the contact’s profile, ensuring your communication history is always up to date.
