The Contacts page is where you'll store all of the information about the people that you interact with in your day-to-day. Contacts can be brokers, potential buyers or investors, or even representatives at a commercial real estate software company.
Adding a Contact
To add a Contact, click New Contact at the top right of the page. From there, you'll be taken to a form that looks like this:
To create a Contact, you’ll need to input at least one of the following fields:
First Name
Last Name
Email
Once you’re finished, just hit Create Contact to add this person to your Database.
Contact Page
Click on a Contact to view any relevant information as well as log and view actions you've taken with this Contact. You’ll see relevant information on the left (including any related Companies or Properties) and a place to log Activities & Tasks for this Contact on the right.
Log Activity
Log a Call, Email, or Meeting with this Contact to keep track of how you've interacted with them. Select the type of Activity from the drop-down menu, input the date and time, then fill out the Summary and Details section. If other Contacts were a part of the Activity, or if it concerned a specific property, you can use the Add Contact and Add Property buttons to connect the people and places that were involved in the conversation.
Create Task
Tasks are just Activities that haven’t happened yet! Similarly to creating an Activity, start by selecting either Call, Email, or To Do from the drop-down, then input the date, time, Summary, and any additional details. You can also have Buildout send you an email reminder for this task and get notified an hour, day, or week in advance to stay on top of upcoming tasks. Likewise, you can also use the Add Contact and Add Property buttons to connect the people and places that are involved or related to the Task.
Add Note
Have you talked to this Contact recently and want to save some info for later? Use the Note tab to add an internal note to this Contact for reference. This can be anything from “Frank will be in Japan for 2 weeks” or “Sarah is a big fan of mountain biking!” The best part is that all of your notes are searchable, so if you go back to the Contacts search and type in “Japan” or “mountain biking” you’ll see results containing any contacts with that keyword in any Activities, Tasks, or Notes.
Schedule Meeting
Use this window to set up a meeting with this Contact. You can also link this up to your Google Calendar under Profile Settings > Integrations > Calendar Sync.
Activity Feed
View all of the different types of events and notes you've logged in one location. Edit or Delete any of these items by using the buttons on the right, and choose which Activity types are displayed by using the tabs at the top. The Web Activity tab shows this Contact's activity on any page of your website that is part of your company's plugin.
