Managing Users in Buildout

Create, remove, and edit user profiles for your brokerage

Note: To manage users in Buildout, you must have Manage Company permissions enabled. Without the Manage Company permission, you will be unable to follow the steps below.

Any Buildout user with “Can Manage Company” permissions enabled has the ability to access the Users tab in Company Settings, where you can create, edit, and remove users in your company. Below are step-by-step instructions for how to perform common user management tasks in Buildout.

To manage users in Buildout, click on your name in the upper-right corner > Company > Users.

Creating New Users in Buildout

There are two types of users in Buildout: Brokers and Admins.

Brokers have the “Can Have Properties” permission checked under Profile Settings, which gives the ability to be listed on a property. The number of broker users in your company can affect your monthly billing.

Admins do not have the “Can Have Properties” permission checked under Profile Settings. This means that they can do anything in Buildout except actually be listed on a property as a broker. Admin accounts are free and will not affect your monthly billing.

How to Add a Broker User

  1. Go to Company Settings

  2. Locate the Users tab

  3. Click on the green Create New User button

  4. Fill out the required fields and save

  5. Go back into the new user’s profile settings and locate the Permissions tab

  6. Check “Can Have Properties” along with any other applicable permissions and save

How to Add an Admin User

  1. Go to Company Settings

  2. Locate the Users tab

  3. Click on the green Create New User button

  4. Fill out the required fields and save

  5. Go back into the new user’s profile settings and locate the Permissions tab

  6. Check any applicable permissions and save

That's it! You've created a new user. The first time they log in, they will be asked to enter their email address. They should then click Forgot Password to receive an email allowing them to set their own password.

Removing Users from Buildout

How to Remove an Admin User

  1. Go to Company Settings

  2. Locate the Users tab

  3. Click on the user you want to remove to access their Profile Settings

  4. On the main Profile tab, scroll down to the Other Settings section

  5. Check the box next to “Inactive” and save

How to Remove a Broker User

  1. On the Property Inventory Page, select the broker you want to remove in the broker filter in order to see all of the properties they are listed on

  2. Ensure that they are not listed as a broker on any active/on-market listings. This can be done by either:

    1. Going into the Property Edit Form and removing/replacing the broker under the “Brokers” section and saving

    2. Going into the Property Edit Form and unchecking “For Sale” and/or “For Lease” under the “Availability” section (effectively making the property off-market) and saving

  3. Go to Company Settings

  4. Locate the Users tab

  5. Click on the user you want to remove to access their Profile Settings

  6. On the main Profile tab, scroll down to the Other Settings section

  7. Check the box next to “Inactive” and save

How to Edit a User’s Profile

  1. Go to Company Settings

  2. Locate the Users tab

  3. Click on the user you want to edit

  4. Use the tabs to edit profile information, user biography, email settings, connected syndication channels, and user permissions

User Permissions

Can Manage Company (MC) - User can manage company account information, create or update user profiles, manage other users’ permissions, change plugin and website settings, and connect company email provider accounts

Can Access Other Users Properties (OUP) - User can view and see all the tabs within other users’ properties

Can Edit Properties - User can modify properties via the Property Edit Form.

Can Have Properties (HP) - User can put their name on documents and listings. They can also edit their own properties, documents, website settings, and syndication

Can Send Emails - User can connect their profile to their individual email provider account and send emails for properties they are listed on

Can Send Email for Other Users Properties - User can send emails for properties where they are not a listed broker

Can Send Emails With Company Credentials - User can send emails using the credentials from the company email provider account

Can Send Emails With Other Users Credentials - User can send emails using another user's individual email provider account

Can Edit Comps - User has access to the "Comps" tab in the blue bar and the ability to create and edit comps

Can Delete Properties - User can delete properties they have the ability to edit

Can Change Deal Statuses - User can make a property a proposal as well as change the deal status to on market, off market, under contract, or closed

Can View Other Users Documents - User will be able to see documents other users created in the document list

Can Edit Other Users Documents - User has access to the document editor for documents other users created

Can Access Other Users Comps - User can view and edit all comps from your company

Can Access Other Users Saved Pages - User can access all saved pages in your company

Can Edit Profile Photo - User can change their profile photo

Can Edit Property Websites - Users with this permission have access to the website editor, and can make changes to an individual property website

Can View Own Back Office Details - User can create and view their own vouchers. User can access Broker Earnings Dashboard.

Can Edit Other Users Vouchers - User can edit vouchers on which they are not listed as a broker.

Can Administrate Back Office For The Company - The user can create and view all Back Office data for the company, including commission plans, invoice settings, and broker earnings.

Can Approve Vouchers - The user can approve vouchers.

Can File Royalty Statements - This permission is unique to SVN users who can file royalty statements on behalf of their brokerage.

Listing Visibility

If all users in the company should be able to view and access public docs for all on-market listings, go to Company Settings and enable the "On Market Listing Visibility" option.

If all users in the company should be able to view and access public docs for all closed listings, go to Company Settings and enable the "Closed Listing Visibility" option.
